Documenting experience: A project management handbook for larger events
The European Broadcasting Union (EBU) puts on a wide range of events in order to fulfill its mission. Formats like Women Executives in Media, EBU Digital Media Days and Digital Radio Week give members further education and networking opportunities. Especially for repeat events, it is helpful to have instructions. As a result, the EBU hired FLYING EYE to create a project management handbook.
We collected all of the existing documents, templates and versions for each topic in the handbook. We used these to derive the necessary work packets for describing the process and designing templates. After that, we designed, described and discussed the processes not just internally, but also with all of the other participating roles. In adopting the project management handbook, it was essential to be in contact with the participating employees. Once we had agreed on a common version, we provided training to support the implementation of the new handbook.
Within a short time, we made an initial version of the project management handbook available. There is now a toolbox ready for project managers that also clarifies roles and processes for all of the participating departments.
